10The coaching guide

Teams & instructors

Set up a team, invite colleagues and golfers, and keep handoffs clear.

Start with your team

A solo instructor is a team of one. If you already use Coach mode, your personal team and existing roster are ready. To work with colleagues, open Team in the web coach console or Coach > Manage in the mobile app.

  1. 01

    Name the team

Use a name golfers will recognize: your instruction program, golf course, or coaching business.

  2. 02

    Invite instructors

Choose an admin or coach role and share the staff invitation. Your colleague sees the team, its members, and the invited role before joining. Staff invites expire after seven days, accept one person, and can be canceled.

  3. 03

    Invite golfers

Share the team’s golfer code or make a named invitation. Golfer and staff invitations are different: use the golfer invitation to add someone to the roster. New users download GolfBod and finish setup first, then use the code to join.

What each role can do

Coaching team permissions
RoleResponsibilities
OwnerCoach golfers, manage the team, invite coaches or admins, change roles, and transfer ownership.
AdminCoach golfers, rename the team, and invite or remove coaches.
CoachWork with the roster, change lead contacts, prescribe programs, and record assessments.

A team keeps an owner. An instructor’s credentials describe their specialty; their role determines their team controls.

Share the work, keep the context

  • Each golfer has a lead contact. Change the contact when another instructor takes over; the plan, notes, and assessments stay with the team relationship.
  • Notes and assessments show who recorded them. Labels and groups help staff organize the shared roster and are not shown to golfers.
  • A colleague can reuse the prescribed plan and its equipment alternatives from the golfer’s record in the app.
  • If you belong to several teams, switch to the one you want to work with. Your program library belongs to your own account.

When staff change

Removing an instructor ends their access and assigns another lead when needed. Golfers keep their records and running programs. Team owners can transfer ownership before stepping away.

Training access always follows the golfer’s sharing choice. Existing permission for an individual coach does not automatically extend to new staff.

Good to know

Create a coaching account and team on the web. Use Team to invite staff and manage roles, and Plan & billing to manage your subscription. On the web, use Coach > Team to see your colleagues, switch teams, and find the setup guide.

Personal help getting launched

GolfBod Concierge Launch is an optional $299 one-time service. We help prepare your roster, set up staff, organize coach-approved programs, and walk your team through launch.

Select it when choosing your team plan, or open Team plan & billing after subscribing and choose Review $299 launch checkout. The owner or a billing contact can purchase it. After payment, your launch status and next step appear in billing. We’ll use the checkout email to arrange setup.

The launch fee is charged once. Your team subscription renews at its usual plan price.

Simple purchasing for your organization

Team subscriptions are purchased and managed on the GolfBod website. The team owner can manage its subscription and invite a school administrator, program director, or purchasing contact. These billing contacts can manage payments and invoices without accessing golfers’ training. Coaching admins do not automatically have billing access.

When ownership changes, the subscription and billing contacts stay with the team. Golfers’ personal Pro subscriptions stay separate.

Choose Core for up to 20 golfers, Growth for up to 50, or Scale for up to 100. For more than 100 golfers, contact us about a Custom plan.

All coaching staff are included, with no additional staff fees. Annual plans include two months free compared with paying monthly. Contact support for annual purchasing assistance or a larger roster.

Your included coach perk: personal GolfBod Pro

Every active owner, admin, and coach on a paid team receives GolfBod Pro for their own training, at no extra cost. This includes unlimited personal programs, the program builder, and Pro mobility sessions. Sign in to the app with the same GolfBod account and open Settings > Subscription to see your included access. Billing-only contacts and golfers do not receive personal Pro.

The benefit lasts while you are on the coaching staff and the team has an eligible paid plan. Leaving the team or ending its plan does not delete personal workouts or history. Another paid team or a personal subscription can still provide Pro.

If you already pay for personal Pro, that subscription is not canceled automatically. Review your personal subscription in the app to avoid paying for access your team includes.
